About the position

The Front Desk Receptionist/Administrative Assistant plays a crucial role in providing a welcoming and efficient front-desk experience for clients and their families. This part-time position involves managing client interactions, scheduling appointments, handling documentation, and supporting both clients and staff in a professional environment.

Responsibilities

  • Greet clients and their families upon arrival, providing guidance and ensuring a positive experience.
  • Coordinate appointments for clients with therapists, managing cancellations and rescheduling.
  • Answer phone calls and respond to emails professionally, addressing client inquiries and directing them appropriately.
  • Organize and file client documentation, session notes, and other important records while maintaining confidentiality and compliance with HIPAA regulations.
  • Process payments, manage invoices, and coordinate with billing departments or insurance companies as necessary.
  • Keep track of office supplies, order as needed, and maintain a tidy reception area.
  • Guide new clients through the intake process and assist with necessary paperwork.
  • Coordinate onboarding tasks for new staff members, including orientation schedules and distributing materials.
  • Serve as a central point of communication for clients and staff regarding schedules and updates.
  • Maintain records of staff credentials, certifications, and licenses, including expiration dates and renewal reminders.
  • Track required training sessions and ongoing education for staff, organizing and scheduling mandatory training events.
  • Organize and manage digital files in Egnyte, ensuring accurate categorization and secure storage.

Requirements

  • High school diploma or equivalent required.
  • 1 year of experience as a receptionist or in a similar role required.
  • Proficiency in Microsoft Word and basic computer skills.

Nice-to-haves

  • Experience with scheduling platforms and credential management tools.
  • Familiarity with Egnyte or similar file management systems.
