About the position

The Front Desk Receptionist and Administrative Assistant will serve as the primary point of contact for clients at an Independent Registered Investment Advisor firm. This role is essential for ensuring smooth office operations while providing administrative support to the financial team. The ideal candidate will be highly organized, detail-oriented, and proactive in managing communications and client interactions.

Responsibilities

  • Serve as the primary client contact, maintaining a welcoming reception area and managing communications via phone, email, and in-person.
  • Triage inquiries, resolve account issues, and ensure timely responses while preparing meeting materials and researching client information.
  • Perform account maintenance operations and ensure compliance with regulations.
  • Schedule appointments for financial advisors, prepare client correspondence, and process financial transactions accurately.
  • Maintain accurate client files in the CRM and manage physical and digital filing systems.
  • Assist in managing office supplies, including inventory tracking, ordering, vendor relations, and invoice processing.
  • Liaise with IT support to address technical issues and maintain office equipment as needed.
  • Help oversee mail distribution and courier services for the office.
  • Support compliance with industry regulations and company policies while handling all interactions with professionalism and discretion.

Requirements

  • Minimum of 3-5 years of administrative experience, preferably in professional or financial services.
  • High school diploma required; Associate's or educational degree in Administration, Finance or related field is beneficial while not required.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Excel, and Word.
  • Experience with Customer Relationship Management (CRM) systems is advantageous.
  • Excellent verbal and written communication skills.
  • Strong organizational abilities with effective multitasking and prioritization skills.
  • Meticulous attention to detail and commitment to accuracy.
  • Ability to maintain confidentiality and exercise discretion with sensitive information.
  • Professional demeanor and ability to interact with clients and colleagues at all levels.
