About the position

As a Front Desk Receptionist at America's Best, you will play a crucial role in providing exceptional customer service and ensuring a smooth operation within the store. Your primary responsibility will be to greet and welcome customers in a friendly manner as they arrive, setting a positive tone for their experience. You will be the first point of contact for customers, both in person and over the phone, and will be expected to provide prompt and courteous service. This role is essential in maintaining organized patient records and facilitating the scheduling of appointments, ensuring that the flow of customers through the store is efficient and effective. In addition to greeting customers, you will be responsible for answering, screening, and forwarding incoming phone calls according to National Vision protocols. You will also process and understand managed care plans, obtaining necessary documentation from insurance companies as needed. Your ability to provide customers with basic and accurate information will be vital in helping them navigate their eye care needs. You will schedule and confirm appointments, follow-up visits, and classes, ensuring that all patient records are filed daily and that files for the next day's appointments are readily available. Maintaining a tidy and presentable reception area is also part of your duties, as is receiving, sorting, and distributing daily mail and deliveries. You will keep an inventory of office supplies to ensure that the reception area is well-stocked and organized. Participation in regularly scheduled mandatory communication meetings will be required to stay updated on store operations and customer service protocols. This position offers the unique benefit of having Sundays off, as the store is closed on that day, allowing for a better work-life balance.

Responsibilities

  • Greet and welcome customers in a friendly manner as they arrive at the store.
  • Ensure high quality customer service while following all safety protocols.
  • Ensure a smooth flow of customers through the store.
  • Answer, screen, and forward incoming phone calls in accordance with National Vision protocol.
  • Process and understand managed care plans while obtaining document information from the insurance company as needed.
  • Provide customers with basic and accurate information.
  • Schedule and confirm appointments, follow-up visits, and classes.
  • File all patient records daily and pull patient files for the next day's appointments.
  • Check order status and notify customers when orders are in or of any delays.
  • Keep the reception area tidy and presentable with all necessary materials.
  • Receive, sort, distribute daily mail/deliveries and maintain inventory of office supplies.
  • Participate in regularly scheduled mandatory communication meetings.

Requirements

  • Fluent in reading and speaking both English and Spanish.
  • Experience as a Receptionist, Front Office Representative or similar role preferred but not required.
  • 0-2 years related experience or training preferred.
  • Experience handling multiple phone lines preferred.
  • Strong customer service skills required.
  • Strong organizational skills required.
