About the position

The Front Desk Receptionist position at Advantage Health Centers is a vital role that encompasses a variety of administrative tasks essential for managing the business aspects of both medical and dental practices. Under the direction of the office manager, the receptionist will be cross-trained in both medical and dental front desk operations, ensuring a seamless experience for patients and staff alike. This position requires a proactive individual who can handle multiple responsibilities while providing excellent customer service. Key duties include answering telephone calls to schedule appointments, providing information, and taking messages. The receptionist will greet patients upon arrival, explain services, billing procedures, and costs for services, ensuring that patients feel welcomed and informed. Scheduling appointments in accordance with office policies and procedures is a critical function, as is assisting patients in filling out necessary forms for initial intake and yearly updates. The role also involves entering billing and collection data into the computer system, verifying insurance information, and obtaining necessary authorizations. The receptionist will retrieve patient charts and other information as required, file lab reports and documents in accordance with standard formats, and set up new dental and medical charts and accounts as needed. Additionally, the receptionist will enter provider schedules and make changes as necessary in the practice management system, perform all front office activities, and carry out other related duties as required. This position requires a strong understanding of customer service principles, HIPAA regulations, and the ability to communicate effectively with both the public and other employees. The ideal candidate will possess excellent computer skills, familiarity with Microsoft Office, and experience with dental and medical practice management software. Attention to detail and organizational skills are essential for success in this role.

Responsibilities

  • Answer telephone calls to schedule appointments, provide information, and take messages, screen and forward calls.
  • Greet patients and explain services, billing procedures, and costs for services.
  • Schedule appointments in accordance with dental/medical office policies and procedures.
  • Assist patients in filling out forms for initial intake data and yearly updates.
  • Enter billing and collection data into the computer, verifying insurance and obtaining authorization as needed.
  • Retrieve charts and other patient information as required.
  • File lab reports, forms, and other documents in the patients' dental/medical record in accordance with standard format.
  • Set up new dental/medical charts and accounts as needed.
  • Enter provider schedules and make changes as necessary in the practice management system.
  • Perform all front office, medical record room, or billing office activities as required.
  • Verify insurance enrollment and procedural eligibility.
  • Submit prior authorizations for procedures as needed.

Requirements

  • Graduation from an accredited technical school or three years progressively responsible experience in a medical/dental office setting.
  • Excellent interpersonal, oral, and written communication skills.
  • Formal computer training or equivalent work experience.
  • Knowledge of the principles and processes for providing good customer service.
  • Knowledge regarding laws related to HIPAA, patient, and employer confidentiality.
  • Excellent computer skills and familiarity with Microsoft Office and dental/medical practice management/billing software.
  • Detail-oriented with excellent organizational skills.
  • Skill in communicating effectively with the public and other employees.
