About the position

Hofrenning Construction is seeking a dedicated and professional Front Desk Receptionist/Personal Assistant to join our team in Saint Paul, MN. This role is crucial as the first point of contact for our company, providing essential administrative support across the organization. The ideal candidate will thrive in a modern office setting and will be responsible for creating a welcoming environment for our guests and clients. The position can be either part-time or full-time, with a pay range of $18 to $22 per hour, depending on experience. In this role, you will greet and welcome guests as they arrive at the office, ensuring they feel valued and attended to. You will direct visitors to the appropriate person and office, manage incoming phone calls by answering, screening, and forwarding them as necessary. Providing accurate information in person and via phone or email is a key responsibility, as is receiving, sorting, and distributing daily mail and deliveries. You will also maintain office security by following safety procedures and controlling access via the reception desk. Additionally, you will be tasked with scheduling personal and business tasks, calling customers regarding billing and other inquiries, composing and sending out emails, sorting various items electronically, and ordering front office supplies while keeping an inventory of stock. This position requires strong organizational skills and proficiency in Google Suite and Microsoft Office, along with excellent customer support skills and the ability to perform basic administrative tasks efficiently.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls

Requirements

  • Strong organizational skills
  • Proficiency in Google Suite and Microsoft Office
  • Experience as a dental receptionist is a plus
  • Familiarity with phone systems
  • Excellent customer support skills
  • Ability to file, scan, and perform basic administrative tasks
  • Proficient in proofreading documents for accuracy
  • Calendar management proficiency
  • 3 years of experience with Microsoft Excel (Preferred)
  • 3 years of experience with Microsoft Powerpoint (Preferred)
