About the position

Hofrenning Construction is seeking a dedicated Front Desk Receptionist/Personal Assistant to join our team in Saint Paul, MN. This role is pivotal as the first point of contact for our company, providing essential administrative support across the organization. The ideal candidate will thrive in a professional, agile, and social work environment, characterized by a modern office setting and opportunities for work-from-home days. As a Front Desk Receptionist, you will be responsible for greeting and welcoming guests as they arrive at the office, ensuring a positive first impression of our company. You will direct visitors to the appropriate person and office, manage incoming phone calls by answering, screening, and forwarding them as necessary, and provide accurate information both in-person and via phone or email. Additionally, you will handle daily mail and deliveries, maintain office security by following safety procedures, and control access via the reception desk. Your duties will also include scheduling personal and business tasks, calling customers regarding billing and other inquiries, composing and sending out emails, sorting various items electronically, and ordering front office supplies while keeping an inventory of stock. This position requires strong organizational skills and proficiency in Google Suite and Microsoft Office, along with excellent customer support skills and the ability to perform basic administrative tasks efficiently.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls
  • Provide accurate information in-person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries

Requirements

  • Strong organizational skills
  • Proficiency in Google Suite and Microsoft Office
  • Experience as a dental receptionist is a plus
  • Familiarity with phone systems
  • Excellent customer support skills
  • Ability to file, scan, and perform basic administrative tasks
  • Proficient in proofreading documents for accuracy
  • Calendar management proficiency
  • 3 years of experience with Microsoft Excel (Preferred)
  • 3 years of experience with Microsoft PowerPoint (Preferred)
  • Ability to commute to Saint Paul, MN 55122 (Preferred)
  • Ability to relocate to Saint Paul, MN 55122 before starting work (Required)
