About the position

The Front Desk Receptionist at Tribeca Pediatrics plays a crucial role as the first and last point of contact for patients visiting the practice. This position is essential in creating a welcoming environment and ensuring that patients and their families receive the highest quality of service. The receptionist is responsible for greeting patients, checking them in and out, scheduling appointments, and answering any inquiries they may have. This role requires a blend of customer service skills and administrative duties, all while maintaining a professional demeanor in a fast-paced clinical office environment. In addition to the primary responsibilities of patient interaction, the Front Desk Receptionist must ensure that all patient information is accurate, including demographic and billing/insurance details. They will notify parents of any outstanding balances and copays while processing payments. The receptionist facilitates patient flow by keeping the clinical staff informed of patient arrivals and any delays, ensuring a smooth experience for everyone involved. The role also includes registering new patients, scheduling, moving, canceling, and confirming appointments, and answering general questions about the practice. The receptionist will handle various administrative tasks such as filling out and sending school/camp medical forms, forwarding messages to registered nurses and providers, and processing fax transmissions and emails through Salesforce. Maintaining an organized and efficient work environment is crucial, as is adhering to all practice policies and HIPAA compliance. The receptionist may also be involved in special projects or tasks designated by the department manager.

Responsibilities

  • Greet and assist patients and parents upon arrival.
  • Check patients in and out of the system.
  • Schedule, move, cancel, and confirm appointments.
  • Ensure patient information is accurate, including demographic and billing/insurance information.
  • Notify parents of outstanding balances and copays while processing payments.
  • Facilitate patient flow by notifying providers of patient arrivals and communicating delays.
  • Register new patients into the system.
  • Answer general questions about the practice courteously.
  • Fill out and send school/camp medical forms as needed.
  • Forward messages to registered nurses and providers.
  • Call in, fax, and/or print prescriptions as required.
  • Process fax transmissions and emails through Salesforce appropriately.
  • Maintain an organized and professional work environment.
  • Keep office supplies adequately stocked by anticipating inventory needs.
  • Assist with provider needs and requests as necessary.
  • Adhere to all practice policies and remain HIPAA compliant.
  • Work on special projects or tasks designated by the department manager.

Requirements

  • 1+ years of customer service experience.
  • Excellent communication and problem-solving skills.
  • Ability to handle a fast-paced environment and prioritize tasks based on importance.
  • High School Diploma or Graduation Equivalency Degree (GED).
  • Must provide proof of vaccination against Hep B, Tdap, and MMR.
  • Must be present and available for the entire training period.

Nice-to-haves
