About the position

As a Front Desk Receptionist at America's Best, you will be the first point of contact for our customers, providing a warm and welcoming atmosphere as they enter our store. Your primary responsibility will be to ensure high-quality customer service while adhering to all safety protocols. You will facilitate a smooth flow of customers through the store, ensuring that their needs are met promptly and efficiently. This role is crucial in maintaining organized patient records and assisting in the scheduling of appointments, which helps keep our operations running smoothly. In this position, you will be responsible for answering, screening, and forwarding incoming phone calls according to National Vision protocols. You will also process and understand managed care plans, obtaining necessary documentation from insurance companies as needed. Providing customers with basic and accurate information about our services and products will be a key part of your role. You will schedule and confirm appointments, follow-up visits, and classes, ensuring that all patient records are filed daily and that files for the next day's appointments are readily available. Additionally, you will check the status of orders and notify customers of any delays or when their orders are ready. Keeping the reception area tidy and presentable, along with maintaining an inventory of office supplies, will also be part of your daily tasks. Participation in regularly scheduled mandatory communication meetings will be expected to ensure that you are aligned with the team's goals and objectives.

Responsibilities

  • Ensures high quality customer service while following all safety protocols.
  • Ensures a smooth flow of customers through the store.

  • Provides customers basic and accurate information.
  • Schedules and confirms appointments, follow-up visits and classes.
  • Files all patient records daily and pulls patient files for the next day's appointments.
  • Checks order status and notifies customers when orders are in or of any delays.
  • Keeps reception area tidy and presentable with all necessary materials.
  • Receives, sorts, distributes daily mail/deliveries and maintains inventory of office supplies.
  • Participates in regularly scheduled mandatory communication meetings.

Requirements

  • Experience as a Receptionist, Front Office Representative or similar role preferred but not required.
  • 0-2 years related experience or training preferred.
  • Experience handling multiple phone lines preferred.
  • Strong customer service skills required.
  • Strong organizational skills required.
  • Education: High School Diploma or equivalent.
