About the position

The Front Desk Receptionist at Trust n Ride Burlington plays a crucial role in providing excellent customer service and administrative support within a modern office environment. This position involves greeting customers, managing communications, maintaining documentation, and assisting with various dealership operations to ensure a smooth workflow and customer satisfaction.

Responsibilities

  • Greet customers and assist with inquiries, providing excellent service, and directing them to the appropriate staff members.
  • Answer phones, manage emails, and handle correspondence to ensure timely communication with customers, vendors, and internal staff.
  • Maintain and organize paperwork related to vehicle sales, including titles, registration documents, and service records.
  • Assist in maintaining accurate records of new inventory, including updating creating proper key tags, stickers, and folders.
  • Provide administrative assistance to the dealership Sales and Finance team, including preparing sales contracts, processing paperwork, and coordinating vehicle deliveries.
  • Assist in following up with customers after vehicle purchases to ensure satisfaction and gather feedback.
  • Manage calendars and schedule appointments for sales staff, including test drives and vehicle inspections.
  • Input and update customer information, vehicle details, and sales data in dealership management systems accurately and efficiently.
  • Manage and maintain proper vehicle title filing for new inventory and sold vehicles for the dealership and lenders/banks.
  • Manage the dealership fleet program with the guests before and after each trip.
  • Perform various administrative tasks as needed, such as ordering office supplies, maintaining office equipment, and assisting with other projects or duties as assigned.

Requirements

  • High school diploma or equivalent; additional education or training in business administration or automotive management is a plus.
  • Previous experience in an administrative role within a dealership or automotive environment preferred.
  • Familiarity with Dealership Management Software (DMS) and Customer Relationship Management (CRM) systems is advantageous.
  • Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills, with a friendly and professional demeanor.
  • Ability to prioritize tasks, manage time effectively, and work well under pressure in a fast-paced environment.
  • Attention to detail and accuracy in all aspects of work, particularly in handling sensitive customer information and paperwork.
