The Front Desk Receptionist serves as the first point of contact for visitors, clients, and employees at the agency, playing a crucial role in creating a positive and welcoming atmosphere. This position requires excellent customer service skills and the ability to perform various administrative tasks efficiently. The receptionist is responsible for managing incoming calls, screening and transferring them to the appropriate individuals or departments, and taking accurate messages when necessary. Additionally, the receptionist warmly welcomes visitors and directs them to the appropriate person or department, ensuring that all guests feel valued and informed about the agency's services and facilities. In addition to handling calls and greeting visitors, the Front Desk Receptionist is tasked with receiving, sorting, and distributing incoming mail and packages, as well as preparing outgoing mail for pickup or delivery. The role also involves coordinating appointments, meetings, and conference room bookings, updating calendars, and notifying staff members of any changes or cancellations. Administrative assistance is provided to various departments, which may include typing, filing, photocopying, and faxing documents as needed. The receptionist is responsible for recording and maintaining checks received via mail or from visitors, ensuring accuracy in all financial transactions. Security is another critical aspect of this role, as the receptionist monitors and controls access to the premises, following established security protocols to ensure the safety of employees and visitors. Maintaining a clean, organized, and presentable reception area is essential, as is ensuring that supplies are stocked and readily available. The receptionist may also assist the Contact Center with VCE/LAP referrals, contributing to the overall efficiency of the agency's operations.
