About the position

Come Join our growing team! At VativoRx, we are looking for the right Administrative Assistant candidate to help us with our growing business! The Successful candidate will join our team in Miami, Florida in bringing Pharmacy Benefit Solutions to the market! As a Front Desk Receptionist / Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office. You will be the first point of contact for our guests and clients, greeting and welcoming them as soon as they arrive at the office. Your responsibilities will include directing visitors to the appropriate person and office, answering, screening, and forwarding incoming phone calls, and ensuring that the reception area is organized and presentable. You will also provide basic and accurate information in-person and via phone/email, receive, sort, and distribute daily mail/deliveries, and maintain office procedures while controlling access via the reception desk. In addition to these duties, you will be responsible for ordering front office supplies and keeping an inventory of stock, keeping updated records of the office supply budget, and performing other clerical receptionist duties such as filing, photocopying, transcribing, and faxing. You will also be tasked with ordering lunch and organizing team events. This position reports directly to the Director of PBM Programs & Services and requires a professional attitude and appearance, solid written and verbal communication skills, and the ability to be resourceful and proactive when issues arise. Excellent organizational skills, multitasking, and time-management skills are essential, along with the ability to prioritize tasks effectively.

Responsibilities

  • Greets and welcomes guests as soon as they arrive at the office
  • Directs visitors to the appropriate person and office
  • Answers, screens, and forwards incoming phone calls
  • Ensures reception area is organized and presentable
  • Provides basic and accurate information in-person and via phone/email
  • Receives, sorts, and distributes daily mail/deliveries
  • Maintains office procedures and controls access via the reception desk

  • Performs other clerical receptionist duties such as filing, photocopying, transcribing, and faxing

Requirements

  • Completed High-School Diploma or Associates Degree preferred
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite, including MS Word, MS Excel, MS Outlook, and MS Powerpoint
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks

Nice-to-haves
