About the position

As a Front Desk Receptionist at America's Best, you will play a crucial role in providing exceptional customer service and ensuring the smooth operation of the store. Your primary responsibility will be to greet and welcome customers in a friendly manner as they arrive, creating a positive first impression. You will be the face of our store, responsible for maintaining organized patient records and facilitating patient schedules to ensure a seamless flow of customers through the store. This role requires you to provide prompt and courteous service to customers, whether they are visiting in person or calling on the phone. In this position, you will ensure high-quality customer service while adhering to all safety protocols. You will be responsible for answering, screening, and forwarding incoming phone calls according to National Vision protocol. Additionally, you will process and understand managed care plans, obtaining necessary documentation from insurance companies as needed. Your role will also involve scheduling and confirming appointments, follow-up visits, and classes, as well as filing patient records daily and preparing files for the next day's appointments. You will check the status of orders and notify customers of any updates or delays, ensuring that the reception area remains tidy and presentable with all necessary materials. You will also handle daily mail and deliveries, maintaining an inventory of office supplies. Participation in regularly scheduled mandatory communication meetings will be expected to keep you informed and engaged with the team.

Responsibilities

  • Greet and welcome customers in a friendly manner.
  • Ensure high quality customer service while following all safety protocols.
  • Ensure a smooth flow of customers through the store.
  • Answer, screen, and forward incoming phone calls in accordance with National Vision protocol.
  • Process and understand managed care plans while obtaining document information from the insurance company as needed.
  • Provide customers with basic and accurate information.
  • Schedule and confirm appointments, follow-up visits, and classes.
  • File all patient records daily and pull patient files for the next day's appointments.
  • Check order status and notify customers when orders are in or of any delays.
  • Keep the reception area tidy and presentable with all necessary materials.
  • Receive, sort, and distribute daily mail/deliveries and maintain inventory of office supplies.
  • Participate in regularly scheduled mandatory communication meetings.

Requirements

  • Experience as a Receptionist, Front Office Representative, or similar role preferred but not required.
  • 0-2 years related experience or training preferred.
  • Experience handling multiple phone lines preferred.
  • Strong customer service skills required.
  • Strong organizational skills required.
  • Education: High School Diploma or equivalent.
