About the position

Family Health Care Clinic, Inc. is seeking a dedicated Front Desk Receptionist to join our team in Decatur, AL. As a non-profit organization, we are committed to providing primary healthcare services to the community, regardless of insurance or income. The ideal candidate will have a passion for helping others and a strong customer service orientation. This position is full-time, with working hours from Monday to Friday, 8 AM to 5 PM. The Front Desk Receptionist will play a crucial role in ensuring a welcoming and efficient experience for our patients. In this role, you will be the first point of contact for patients, welcoming them as they arrive at the clinic or contact us by phone. You will explain the services available, payment categories, and billing procedures. Your responsibilities will include conducting financial screenings to determine payment categories before provider visits, scheduling appointments, and directing walk-in patients and emergencies according to established policies. You will also be responsible for answering incoming calls and routing them to the appropriate staff, registering patients per protocols, and collecting necessary documentation and billing information. Additionally, you will verify patient insurance coverage, compute charges, collect deposits or co-pays, and inform patients of their outstanding balances. Balancing the cash box in accordance with cash handling policies and making daily deposits will also be part of your duties. You will work closely with medical, dental, and nursing staff to ensure smooth patient flow and minimize waiting times. Other responsibilities include distributing Clinic Visit Summaries, reminding patients of their appointments, and advocating for patients to support optimal, patient-centered outcomes. You will also perform any other duties as requested by your supervisor.

Responsibilities

  • Welcome patients as they contact the center personally or by telephone, and explain the services available, payment categories, and billing procedures.
  • Receive patients and direct them to the services needed.
  • Conduct financial screenings to determine the category of payment before provider visits.
  • Schedule appointments; direct walk-in patients and emergencies as per established policies and procedures.
  • Answer all incoming calls and route them to the appropriate staff.
  • Register all patients per registration protocols and collect all documentation and billing information per billing protocol.
  • Ensure proper data collection documentation.
  • Review and verify patient coverage of insurance or other agencies and compute the charges to be paid by the patient.
  • Collect deposits or co-pays/deductibles prior to the patient being seen by the provider per established policies and procedures.
  • Inform patients of their outstanding balance, collect said balance, and issue cash receipts when monies are collected.
  • Balance cash box in accordance with the cash handling policy.
  • Deposit collections at the end of the day at specified bank daily.
  • Work closely with Medical, Dental and/or Nursing staff to assure smooth patient flow and cut down on waiting time.
  • Distribute Clinic Visit Summary at the end of each visit.
  • Call and remind patients of their appointments.
  • Advocate for patients to support the attainment of optimal, patient-centered outcomes.

Requirements

  • High school diploma or GED
  • 3 years of customer service experience
  • 1 year of experience with EMR systems
  • Strong organizational skills
  • Experience with data collection
  • Experience with documentation review
