About the position

As a Front Desk Receptionist at America's Best, you will be the first point of contact for our customers, embodying the welcoming spirit of our brand. Your primary responsibility will be to greet and assist customers in a friendly and professional manner, ensuring they feel valued and cared for as soon as they enter the store. You will play a crucial role in maintaining organized patient records and facilitating smooth patient scheduling, which is essential for the efficient operation of our store. Your ability to provide prompt and courteous service, whether in person or over the phone, will be key to enhancing the customer experience. In this role, you will ensure high-quality customer service while adhering to all safety protocols. You will manage the flow of customers through the store, ensuring that each individual receives the attention they deserve. Your responsibilities will include answering, screening, and forwarding incoming phone calls in accordance with National Vision protocols, as well as processing managed care plans and obtaining necessary documentation from insurance companies. You will also provide customers with basic and accurate information regarding their inquiries. Scheduling and confirming appointments, follow-up visits, and classes will be part of your daily tasks, along with filing patient records and preparing for the next day's appointments. You will check the status of orders and notify customers of any updates or delays, ensuring that the reception area remains tidy and presentable with all necessary materials. Additionally, you will be responsible for receiving, sorting, and distributing daily mail and deliveries, as well as maintaining an inventory of office supplies. Participation in regularly scheduled mandatory communication meetings will also be expected to keep you informed and engaged with the team.

Responsibilities

  • Ensures high quality customer service while following all safety protocols.

  • Provides customers basic and accurate information.
  • Schedules and confirms appointments, follow-up visits and classes.
  • Files all patient records daily and pulls patient files for the next day's appointments.
  • Checks order status and notifies customers when orders are in or of any delays.
  • Keeps reception area tidy and presentable with all necessary materials.
  • Receives, sorts, distributes daily mail/deliveries and maintains inventory of office supplies.
  • Participates in regularly scheduled mandatory communication meetings.

Requirements

  • Experience as a Receptionist, Front Office Representative or similar role preferred but not required.
  • 0-2 years related experience or training preferred.
  • Experience handling multiple phone lines preferred.
  • Strong customer service skills required.
  • Strong organizational skills required.
  • Education: High School Diploma or equivalent.
