The receptionist serves as the first point of contact for patients, providing assistance and information to enhance their experience at the medical office. The role requires a blend of customer service skills, organizational abilities, and attention to detail to manage the front desk operations effectively. In this position, the receptionist will optimize patient satisfaction and provider time by efficiently scheduling appointments, both in person and over the phone. They will be responsible for keeping patient appointments on schedule by notifying providers of patient arrivals and managing any service delays. The receptionist will also comfort patients by addressing their anxieties and answering their questions, ensuring a supportive atmosphere in the reception area. Maintaining patient accounts is another critical responsibility, which includes obtaining, recording, and updating personal and financial information. The receptionist will handle revenue collection by recording patient charges and managing third-party claims. Additionally, they will oversee the business office inventory and equipment, ensuring that necessary supplies are available and that equipment is serviced as needed. The role also involves responding to emergencies and maintaining the confidentiality of patient information, adhering to policies and procedures to ensure smooth operations.

Responsibilities

  • Greet and assist patients and visitors in person or over the phone.
  • Schedule appointments and maintain patient records and accounts.

  • Comfort patients by addressing their questions and anxieties.
  • File and retrieve patient records to ensure availability of treatment information.

  • Follow policies and procedures to maintain operations and report needed changes.

Requirements

  • 1 year of customer service experience (preferred)
  • Fluency in English and Spanish (required)
  • Proficiency in Microsoft Excel and QuickBooks
  • Strong time management and organizational skills
  • Ability to multi-task and maintain flexibility in a fast-paced environment
  • Excellent telephone skills and attention to detail
  • Professional demeanor and quality focus

  • Experience in a medical office setting
