About the position

As a Front Desk Associate at Advocare, LLC, you will play a crucial role in creating a welcoming environment for patients and visitors. Your primary responsibilities will include greeting patients upon their arrival, managing incoming telephone calls, and performing various administrative tasks that support the smooth operation of the Care Center. You will be responsible for handling medical and insurance records, billing, and other related duties as assigned. Your role will also involve managing patient communications and staff calendars, ensuring that all interactions reflect a positive and professional image of the Care Center to the public. In this position, you will be the first point of contact for patients, which means your customer service skills will be essential. You will answer incoming calls on a multi-line telephone system, schedule patient appointments, and transfer calls to the appropriate personnel. Additionally, you will greet patients and visitors, collect co-pays, remind patients of past due balances, and ensure that patients check out properly after their visits. You will also confirm appointments, document cancellations, and assist in preparing the Doctor's patient files by gathering necessary paperwork and printing daily appointment schedules. Responsibilities

  • Greet patients and visitors upon arrival and notify the appropriate person of the patient's arrival.
  • Answer incoming telephone calls on a multi-line telephone system in a professional manner.
  • Schedule patient appointments and confirm them as needed.
  • Transfer calls to the appropriate person and write messages in accordance with approved telephone procedures.
  • Collect and post co-pays and remind patients of past due balances on the day of their office visit.
  • Ensure patients check out as they leave the office and follow check-out procedures.
  • Document and notify the Doctor when a patient cancels an appointment.
  • Type correspondence and office memos as directed.
  • Transcribe information regarding patient visits for medical reports.
  • Prepare and provide the Doctor's patient files by pulling charts, gathering paperwork, and printing daily appointment schedules.

Requirements

  • High School Diploma or Equivalent.
  • Experience with Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Excellent customer service skills.
  • Effective verbal and written communication skills.
  • Ability to demonstrate professionalism, confidentiality, and diplomacy.
  • Ability to establish and maintain effective working relationships with a diverse group of people at all levels of the organization.
  • Detail-oriented with strong follow-up initiative.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities.

Nice-to-haves

  • One year of prior experience in a medical setting preferred.
