About the position

The Front Office Associate at PACT MSO, LLC plays a crucial role in ensuring a positive patient experience within a busy Internal Medicine Group in Hamden. This full-time position involves a variety of administrative tasks, including patient registration, appointment scheduling, and managing patient communications, all while maintaining a friendly and professional demeanor.

Responsibilities

  • Greet incoming patients, visitors, vendors, etc. with a friendly, professional demeanor.
  • Register and check in patients accurately by following standard operating procedures.
  • Schedule and confirm patients' appointments.
  • Check out patients, completing all necessary steps in the check-out standard operating procedure.
  • Collect proper co-pays, payments on balances, and walk-in payments, processing them appropriately.
  • Open and close batch daily for deposit.
  • Accurately scan and index documents and reports into patients' charts in the EHR system.
  • Review all provider orders for completeness and obtain clarification on incomplete or questionable orders.
  • Prepare for tests/procedures as needed.
  • Promptly and professionally answer telephone calls, routing them to the appropriate person or taking messages as necessary.
  • Document messages in the patient chart or other electronic manner as specified by type of call.
  • Collect pertinent information and required documents from patients prior to appointments.
  • Explain financial requirements to patients and collect co-pays as required.
  • Manage the transfer of the phone system to and from the answering service, resolving non-urgent after-hours messages.
  • Perform other assignments and special projects as needed.

Requirements

  • High School diploma or GED required.
  • 2 years of experience in healthcare preferred.
  • 2 years of Epic experience preferred.
  • Knowledge of computers and EHR software.
