About the position

The Front Office / Bookkeeping / Administrative Assistant at Frog Song Organics, LLC is responsible for supporting the farm's administrative and bookkeeping needs while providing excellent customer service. This role involves managing office tasks, assisting with inventory, and coordinating with service providers, all while maintaining a positive and professional demeanor. The position is available for both part-time and full-time schedules, with a focus on candidates who have bookkeeping and administrative experience.

Responsibilities

  • Receive phone calls and staff the office.
  • Provide excellent customer service through emails and phone calls.
  • Process credit card payments for customers.
  • Coordinate, schedule, and interact with service providers for deliveries, repairs, inspections, etc.
  • Assist with filing, physical organization, and cleanliness of office and shared spaces.
  • Assist with inventory of food products, packing supplies, and tools for distribution as needed.
  • Work in coordination with other staff to inventory frozen meats and value-added items, and prepare these products to fulfill special orders.
  • Help farm-gate customers load orders and put orders out at the gate.
  • Assist with creation of labels and packing lists.
  • Be a point of contact for delivery drivers and assist with customer communication as needed.
  • Help with special projects and events on the farm, including occasional weekend and evening work.
  • Coordinate Daily and Weekly Goals with all staff through Google Sheets.

Requirements

  • Bilingual in Spanish is highly preferred.
  • At least two years of administrative assistant/office manager experience in a fast-paced environment.
  • Experience with QuickBooks and bookkeeping.
  • Strong customer service skills and phone etiquette.
  • Proficient in Google Docs and computer literacy.
  • Ability to handle cash and personal information securely.
  • Exceptional attention to detail and follow-through.
  • Self-motivated with the ability to work both independently and as part of a team.
  • Valid driver's license and authorization to work in the U.S.
  • Ability to climb stairs and lift up to 40 lbs.

Nice-to-haves

  • Experience in Human Resources and payroll management.
