The Front Office Clerk for JWCH-Vermont Clinic is a full-time position under the direction of the Clinic Administrator. This role is crucial as it serves as the first point of contact for patients, visitors, and medical professionals, representing the facility with professionalism and empathy. The Front Office Clerk is responsible for the financial screening of all clients for state certification of eligibility, managing reception area duties, responding to client questions, and providing directions to clients. This position plays an important role in ensuring a welcoming environment for patients while assisting with administrative tasks to keep operations running smoothly. In this role, the Front Office Clerk will greet patients and visitors in a courteous and welcoming manner, manage patient check-ins and check-outs efficiently, and coordinate patient appointments, consultations, and follow-ups. The clerk will handle incoming calls and emails, providing assistance, scheduling appointments, and directing inquiries to appropriate personnel. Maintaining patient records with confidentiality and accuracy is essential, as is assisting in data entry and record updates as necessary. The clerk will also screen all clinic patients, verify their insurance coverage and eligibility, and assist patients with insurance-related inquiries and documentation. Additionally, the Front Office Clerk will process patient payments, co-payments, and insurance claims, collaborating with billing departments to resolve any discrepancies. Monitoring inventory levels of office supplies and placing orders as needed is part of the role, as well as providing administrative support to medical staff, including preparing patient charts, documents, and referrals. The clerk will ensure that the front office area is clean, organized, and presentable, maintaining a comfortable and welcoming waiting area for patients. Adhering to healthcare regulations, privacy laws (such as HIPAA), and organizational policies is critical, as is maintaining the confidentiality of patient information at all times. The clerk will also be responsible for ensuring that all patients have the necessary clinic ID card, HAP or Medi-Cal card, and have signed a current General Consent Form. Other duties may be assigned as necessary.
