About the position

The Front Office Manager at A&A Contracting Services Inc. is responsible for overseeing the administrative functions of the office, ensuring efficient operations, and providing excellent customer service. This role requires strong organizational skills, the ability to manage multiple tasks, and proficiency in Microsoft Office and QuickBooks. The ideal candidate will contribute to the development of standard operating procedures and maintain compliance with various policies and certificates.

Responsibilities

  • Proficient in Microsoft Office and QuickBooks.
  • Maintain and develop standard operating procedures (SOPs).
  • Manage the renewal of policies and certificates (business license, COIs, etc.).
  • Conduct insurance audits and manage related documentation.
  • Organize and store client information effectively.
  • Communicate verbally and in writing with clients and staff, including proofreading and typing documents.
  • Prioritize tasks and manage time effectively to meet deadlines.
  • Maintain a tidy office environment and ensure supplies are stocked.
  • Work independently and exercise good judgment in decision-making.
  • Manage emails, letters, packages, phone calls, and other correspondence.
  • Oversee daily schedules and appointments for the office.
  • Process legal proceedings, payroll, certified payroll, and government contracting.
  • Keep track of company vehicle registrations.
  • Supervise office staff and monitor office projects.

Requirements

  • 5+ years of experience with QuickBooks (online and desktop).
  • 5+ years of experience with Microsoft Office.
  • 5+ years of customer service experience.
  • Knowledge of construction processes and terminology.
  • High school diploma or equivalent required.
  • Reliable transportation is necessary.
  • Bilingual in English and Spanish is a plus.

Nice-to-haves

  • Experience in human resources (5 years preferred).
  • Experience in insurance auditing (4 years preferred).
  • Experience in collection management (5 years required).
