About the position

The Front Office Manager at Encompass Dental Studio is responsible for overseeing the business operations of the dental practice, ensuring efficient communication between the doctor and staff, and maintaining high standards of patient care and service. This role involves supervising support staff, managing business accounting activities, and ensuring compliance with health regulations, all while fostering a positive work environment and promoting excellent customer service.

Responsibilities

  • Supervises support staff to ensure maximum production and service.
  • Conducts performance evaluations and issues appropriate disciplinary actions.
  • Directs support staff recruiting efforts through application screening, interviewing, and hiring procedures.
  • Coordinates continuing education events and trains support staff in their respective positions.
  • Prepares work schedules for staff to assure optimal production and service.
  • Maintains Personnel Policy Manual and administers policies and staff benefit programs.
  • Conducts new hire orientation and establishes employee personnel files.
  • Ensures compliance with health regulations and OSHA standards.
  • Acts as a liaison between patients and staff to resolve problems and complaints.
  • Educates and motivates support staff to achieve excellent customer service and patient satisfaction.
  • Manages business accounting activities including payroll, accounts payable, and budgeting.
  • Oversees patient care by scheduling appointments and coordinating financial arrangements.
  • Ensures the practice property is clean and well-kept, and equipment is in working order.
  • Assists in developing a marketing program to maintain the financial welfare of the practice.
  • Reviews fee structures and recommends changes for financial success.
  • Researches costs associated with purchasing supplies and equipment.

Requirements

  • 2 year degree from a college or technical school.
  • Minimum of six months to one year of related experience and/or training, or equivalent combination of education and experience.
  • Knowledge of federal and state labor law regulations.
  • Skilled in the use of standard office equipment and software (MS Excel, Word).
  • Ability to maintain composure and professionalism in stressful situations.
  • Proficient in conflict resolution and problem-solving techniques.
  • Ability to prioritize, organize, and complete tasks independently.
