About the position

The Front Office Manager plays a crucial role in ensuring the smooth operation of the front desk and guest services in a healthcare environment. This position is responsible for overseeing daily front office operations, managing data input on the software and ledger, and delivering exceptional customer service to enhance guest satisfaction. The ideal candidate will possess strong leadership skills, a keen understanding of hospitality management, and the ability to foster positive guest relations.

Responsibilities

  • Supervise and coordinate front desk operations, ensuring efficient check-in and check-out processes.
  • Manage the ledger, taking payments, recording incoming insurance payments and ensuring the software is up-to-date on patient balances.
  • Develop and implement standard operating procedures to enhance guest experience and operational efficiency.
  • Handle guest inquiries, complaints, and requests with professionalism and courtesy.
  • Maintain the treatment rooms, by replacing sheets and table paper, collecting trash at end of day and straightening and securely stashing front desk equipment.
  • Monitor and maintain inventory of front office supplies and supplements, organizing displays and pulling expired bottles.
  • Promote return business by rescheduling patients at time of treatment and suggesting they post positive experiences in our office on google.
  • Maintain a HIPAA compliant reception environment: protecting identity of patients by covering documents and avoiding the discussion of private topics in an open setting.

Requirements

  • Proven experience in a front desk or guest relations role for a 6 month minimum.
  • Strong customer service skills with a focus on guest satisfaction.
  • Excellent communication skills; bilingual or multilingual abilities are a plus.
  • Knowledge of hospitality management principles and practices.
  • Ability to lead a front desk effectively while fostering a positive work environment.
  • Proficiency in computer skills and software and systems is preferred.
  • Strong organizational skills with attention to detail.
  • Flexibility to work various shifts, including nights until 8pm as needed.

Nice-to-haves

  • Interest in insurance billing is definitely a plus.
  • Customer service experience of 1 year is preferred.
