About the position

The Front Office Med Spa Coordinator is responsible for providing exceptional customer service and support in a medical spa environment. This role involves building client loyalty, managing appointments, and ensuring a clean and welcoming atmosphere. The coordinator will also assist with retail and service sales, fulfill online orders, and support team members in various tasks, all while promoting the mission and services of Sapien Skin + Beauty.

Responsibilities

  • Serve as a knowledgeable resource to clients, building loyalty and confidence through excellent service.
  • Fulfill online orders and manage daily operations including deep cleaning, laundry, and room turnover.
  • Schedule appointments, conduct checkouts, and maintain communication with clients.
  • Demonstrate in-depth knowledge of the company's mission, vision, and services to clients.
  • Provide support to team members and take notes for estheticians during client consultations.
  • Conduct skin care analysis and clinical photography using Visia.

  • Positive track record with attendance and timeliness, demonstrating reliability as a teammate.
  • Excellent communication and listening skills to effectively interact with clients.
  • Ability to maintain confidentiality and display professional ethical conduct at all times.
  • Strong critical thinking and problem-solving skills in a fast-paced environment.
  • Demonstrate a process-improvement mindset and a self-driven approach with a can-do attitude.
  • Exceptional relationship-building skills and the ability to repair client relationships when necessary.
  • Maintain cleanliness and adhere to all sanitation protocols in the workplace.
  • Proficient in computer navigation and multitasking across several software programs simultaneously.
  • Interest in the skin care and medical spa industry, with a desire to learn and grow.

Nice-to-haves

  • Experience in the skin care or medical spa industry.
  • Previous customer service experience beyond one year.
