About the position

The Registration Coordinator is responsible for facilitating the efficient flow of patients through accurate and timely scheduling and admissions. This role requires bilingual proficiency in Spanish and involves scheduling clinical appointments, ensuring all necessary forms are completed, and providing patients with instructions regarding facility guidelines and financial responsibilities prior to their services.

Responsibilities

  • Schedule clinical appointments, invasive and operative procedures.
  • Ensure all pertinent forms and documents are completed.
  • Schedule patients for surgeries and procedures and provide proper instructions regarding facility guidelines and financial responsibility.
  • Contact vendors for special instruments requested by physicians.
  • Greet patients in a friendly and professional manner.
  • Answer phone calls and take appropriate action for the facility.
  • Communicate with physicians when necessary.
  • File chart notes and other medical information in the appropriate chart.
  • Ensure all patients accurately and completely fill out required forms.
  • Obtain updated Patient Demographic forms and signatures as needed.
  • Enter all patient demographics and information into the facility software system.
  • Assist in verification, pre-certification, and obtaining authorized coverage for scheduled procedures.
  • Prepare facility billing in an accurate and complete format.
  • Maintain an organized filing system for important documentation.
  • Act as a patient advocate and ensure a pleasant patient experience.
  • Maintain patient files in accordance with governmental and practice standards.
  • Obtain physician authorization to release medical records.
  • Maintain open communication with physicians' medical staff.

Requirements

  • High School Graduate.
  • Minimum of one (1) year related experience.
  • Bilingual (English/Spanish).
  • Knowledge of modern office equipment, systems, and procedures.
  • Ability to work independently and take initiative to improve overall office operations.
  • Strong interpersonal skills.
  • Computer literate.
  • Experience with computerized scheduling systems and multi-line telephones.
  • Working knowledge of medical terminology.
  • Working knowledge of using ICD-9 and CPT Codes.
