About the position

The Field Service Administrative Assistant I will provide essential administrative support to the Field Service group, working under the supervision of the Regional Operations Manager. This role requires strong organizational skills and a thorough understanding of facility practices and company policies. The assistant will handle various administrative tasks, including time tracking, invoice processing, and maintaining spreadsheets, while contributing to team meetings and ensuring effective communication within the department.

Responsibilities

  • Post time daily.
  • Track and process time and attendance for payroll.
  • Review and approve tickets daily.
  • Resolve ticket issues related to inventory, parts, customer information, and P.O.s.
  • Process SROs and invoices in SyteLine.
  • Submit customer invoices through appropriate submission portals.
  • Follow up and resolve invoice rejections and corrections promptly.
  • Maintain and update Field Service and Finance tracking spreadsheets.
  • Attend and contribute to weekly Finance meetings.
  • Perform duties associated with the collection process.
  • Assist in SRO processing outside of assigned region(s) as needed.
  • Complete other tasks as assigned.

Requirements

  • High School Diploma or GED
  • 1-3 years of administrative experience
  • Highly proficient with MS Office: Word, Excel, Outlook
  • Good written and oral communication skills
  • Ability to multitask and work in a fast-paced environment
  • Ability to maintain confidentiality of information
  • Strong interpersonal skills and ability to work as a team player
  • Dependable, highly motivated, and self-directed
  • Process-oriented with strong organizational skills
  • Ability to work beyond standard work hours when needed
