About the position

The Contracts Specialist position at Ogden City Corporation is responsible for assisting in the review, routing, and generation of contract information within the city's contract management systems. This role involves liaising between the Purchasing Division and various departments, ensuring compliance with contract terms, and maintaining accurate records in the database. The position requires attention to detail and the ability to manage key contract dates and deliverables effectively.

Responsibilities

  • Prepare and process contract documents for City review and signature.
  • Act as a liaison between the Purchasing Division and all departments regarding official documents and contracts.
  • Assist with the receipt of legal documents as required by law.
  • Determine signature authority, routing for review and compliance, and obtaining signatures.
  • Monitor contracts in progress for expedited processing.
  • Maintain confidentiality with highly sensitive materials and matters.
  • Review and analyze old and new contracts and amendments for accurate database entry.
  • Ensure contracts are properly entered into the Cobblestone and Munis database and securely maintained.
  • Assist in managing key contract dates and maintain deadlines on deliverables.
  • Review contractual performance to ensure compliance with terms and conditions.
  • Interact with other department staff to secure and organize relevant information for contract processing.
  • Assist accounts payable staff in locating necessary contract information for contractor invoices.
  • Provide technical assistance and customer support related to troubleshooting the Cobblestone software.
  • Participate in safety and risk management activities.

Requirements

  • Two years of database entry and management experience.
  • Previous experience working in a contract or legal department is desirable.
  • Associate's degree in a related field.
  • An equivalent combination of work experience and education is acceptable.
