About the position

We are seeking an experienced and proactive full-time Financial Administrator to join our team at Hoss & Brown Engineers, Inc. The Financial Administrator will play a vital role in ensuring the smooth and efficient operation of our office and supporting administrative staff. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will be a reliable team player with excellent communication skills and a proactive approach to problem-solving. In this role, the Financial Administrator will assist with financial tasks such as processing daily bookkeeping, including accounts payable and accounts receivable tasks, client invoices, and statements. Additionally, the Financial Administrator will help maintain the company business licenses and assist the Business Manager with various accounting functions, including reviewing timesheets and bi-weekly payroll processing. The position also involves providing support to project managers as needed, assisting with monthly billings to clients, and preparing RFP/RFQ documents. Administrative support is another key aspect of this role, which includes project file closeout, mail handling, and other tasks as needed. Additional responsibilities will include assisting in new hire orientation and ensuring compliance with licensure requirements for the company and PIC.

Responsibilities

  • Assist with financial tasks such as processing daily bookkeeping including accounts payable and accounts receivable tasks.
  • Manage client invoices and statements, and assist with maintaining the company business licenses.
  • Assist the Business Manager with a variety of accounting functions including reviewing timesheets and bi-weekly payroll processing.

Requirements

  • Previous bookkeeping/accounting experience preferably in a professional services environment or college coursework in a related field.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication skills, both verbal and written, with the ability to interact effectively with staff at all levels.
  • Regular, predictable, and punctual attendance.
  • Proficiency in Microsoft Office Suite.
