This full-time position requires a dependable and professional individual who can manage various administrative tasks while maintaining a welcoming atmosphere for clients and staff. The role involves direct interaction with clients, handling inquiries, and ensuring compliance with safety and HIPAA regulations.

Responsibilities

  • Maintain an organized and well-stocked office space in collaboration with the building manager.
  • Perform light cleaning and ensure the office is neat and welcoming for clients and clinicians.
  • Order office supplies and maintain organization of supplies and equipment.
  • Conduct office orientations for newly hired staff on policies and safety measures.
  • Greet walk-in clients and provide information regarding services and safety measures.
  • Answer and return calls and emails for existing and prospective clients, maintaining accurate logs.
  • Respond to online inquiries regarding therapy services and explain policies to clients.
  • Follow HIPAA and healthcare security protocols diligently.
  • Manage the office library system, including organization and restocking of materials.
  • Fulfill records requests promptly as instructed by the Clinical Director.
  • Accurately document all client contact in the Electronic Health Records (EHR) system.
  • Review client files for completeness at the request of the Clinical Director and HR Manager.

Requirements

  • Bilingual communication skills.
  • Customer service experience, preferably in a medical office setting.
  • Familiarity with HIPAA regulations.
  • Experience in play therapy and project management.
  • Associate's degree or higher preferred.
  • Strong communication skills, both written and verbal.
  • Good time management skills.

Nice-to-haves

  • Medical office experience.
  • Knowledge of psychology or counseling.
  • Familiarity with the Federal Way community.
