About the position

The Personal Assistant role is a dynamic and adaptable position that provides essential support to a private residence, primarily in the Chicago area with a planned move to Orlando. This full-time position involves managing communication, coordinating travel, planning events, and overseeing household tasks, making a significant impact on the family's daily life.

Responsibilities

  • Manage all incoming and outgoing messages as the communication hub.
  • Coordinate travel plans and occasionally accompany the couple on trips.
  • Plan and execute events creatively.
  • Run errands such as picking up dinner and handling dry cleaning.
  • Book personal appointments and craft itineraries.
  • Manage personal calendars and oversee house management tasks.
  • Collaborate with other household staff and flight crew.
  • Maintain and organize household inventories and handle vendor relationships.
  • Assist with meal planning alongside the chef.
  • Organize the family's schedules and act as a liaison between the Property Manager and the internal business team.
  • Implement new processes and tackle special projects.

Requirements

  • Proactive and able to anticipate needs and initiate projects accordingly.
  • Strong teamwork skills and ability to thrive in a collaborative environment.
  • Excellent verbal and written communication skills.
  • Resourcefulness and assertiveness in gathering information.
  • Proven track record of maintaining confidentiality with integrity and discretion.
  • Willingness to become a Notary Public if not already certified.
  • Flexibility to work irregular hours when necessary.

Nice-to-haves

  • Bachelor's degree preferred.
  • Relevant experience through work or education preferred.
  • Previous event planning experience preferred.
  • High proficiency in using Word, Excel, Outlook, PowerPoint, technology, and the Internet.
