A highly focused and motivated family in Blue Bell, PA, is seeking an organized, proactive, and personable Personal/Executive Assistant to support both personal and professional aspects of their lives. The Principal of the family owns a successful children's dentistry practice, and with three children attending college out of state, this role is essential in maintaining the smooth operation of both their household and business. The position is designed to ensure that the family's daily activities are well-coordinated and that their professional commitments are managed effectively. The Personal/Executive Assistant will be responsible for a variety of tasks that include managing schedules, coordinating travel, handling communications, and overseeing household management. This role requires a high level of organization and the ability to multitask, as the assistant will be juggling various responsibilities that are critical to the family's daily life and the operation of the dental practice. The ideal candidate will possess a strong work ethic, excellent interpersonal skills, and the ability to maintain confidentiality while managing sensitive information. The position is full-time, with a schedule from Monday to Friday, 7:30 AM to 4:30 PM, and offers a competitive salary ranging from $80,000 to $90,000 per year, depending on experience. The family values a supportive and collaborative environment, and the assistant will play a key role in fostering a positive atmosphere both at home and in the office.

Responsibilities

  • Organize daily appointments, meetings, and personal engagements to ensure optimal time management.
  • Serve as the main point of contact for phone calls, emails, and messages, ensuring timely and prioritized responses.
  • Arrange seamless domestic and international travel, handling flights, accommodations, transportation, and itineraries.
  • Assist with errands, shopping, and household needs, coordinating with vendors and service providers.
  • Help plan and organize personal events and gatherings, managing invitations, RSVPs, and logistics.
  • Build and maintain strong relationships with internal and external contacts.
  • Organize team-building activities for the dentistry practice, manage office supplies, equipment, and vendor coordination.
  • Collaborate on creating social media content for the practice.
  • Prepare agendas and presentations, manage QuickBooks files, write checks, and maintain financial records.
  • Ensure sensitive and personal information is well-organized and handled discreetly.
  • Schedule maintenance, manage deliveries, and ensure smooth household operations.

Requirements

  • Candidates must be at least 21 years old.
  • Related work experience is required along with verifiable references.
  • Candidates may have a broad range of experience, but it must pertain to the position you are applying for.
  • We require at least 2-3 verifiable references.
  • Letters of recommendation from previous employers are preferred.
  • A driver's license is required for most positions and a motor vehicle investigation is completed prior to placement.
  • A criminal background investigation is completed on all candidates prior to placement.
  • All candidates must furnish proof of US citizenship or eligibility to work as a legal alien.
  • Candidates must be willing to commit for at least 1 year with a family.
