About the position

The Functional Systems Specialist serves as a crucial link between the business and technical teams at Syracuse University. This role is essential for the successful implementation and maintenance of a new cloud-based maintenance management system within Facilities Services. The specialist will be responsible for gathering and documenting end-user requirements, ensuring that users can effectively utilize the system. This includes maintaining system security, debugging issues, collaborating with vendors to resolve problems, and creating user-friendly reports. The position also involves monitoring data integrity, overseeing system interfaces, and providing comprehensive training to end-users to enhance their experience and efficiency with the system. In addition to technical responsibilities, the Functional Systems Specialist will play a key role in user support, offering ongoing training and assistance to ensure that all users are well-equipped to navigate the system. The specialist will conduct testing of updates and new functionalities, maintaining test scripts to ensure that all end-user functionalities are thoroughly tested to minimize production defects. This position requires a proactive approach to problem-solving and a commitment to maintaining high standards of performance and results for the maintenance system. The ideal candidate will possess strong organizational and interpersonal skills, with a keen attention to detail. Effective communication skills are essential, as the specialist will interact with a diverse group of constituents across the university. Responsibilities

  • Provides end-user help and on-going training.
  • Debug any system issues and work with vendor to resolve in a timely manner.
  • Maintains and audits system security and acts as the data steward to maintain data integrity.
  • Accountable for performance and results of the Maintenance system.
  • Performs testing of update releases and new functionality.
  • Responsible to maintain test scripts and ensure that all end-user functionality is tested to ensure minimal production defects.
  • Creates and analyzes standard and ad-hoc queries and reports.

Requirements

  • Bachelor's Degree or equivalent combination of education and experience.
  • Knowledge of IBM Maximo or another CMMS is preferred.
  • Knowledge of cloud-based software solutions is preferred.
  • Proficiency in Microsoft Office Word, Access, Excel, PowerPoint, Visio is required.
  • Proficiency in a reporting tool is required.
  • In-depth knowledge of work order management concepts is preferred.
  • Strong organizational and interpersonal skills and attention to detail are required.
  • Good communication skills and ability to interact with diverse group of constituents is required.
