About the position

The Viterbi Family Department of Ophthalmology at UC San Diego is seeking a Fund Manager to oversee the financial management and administration of a diverse range of extramural grants, contracts, and clinical trials, totaling approximately $15 million annually. This role is critical in ensuring the smooth operation of financial processes within the department, which comprises over 40 faculty physicians, 12 resident physicians, and more than 250 staff members across six divisions. The department is known for its extensive clinical services, including the Shiley Eye Institute Clinic and various other facilities, handling over 120,000 outpatient visits and 5,800 surgical cases each year. The Fund Manager will work under general supervision, providing fiscal management and financial analysis for federal grants, contracts, service agreements, and donations. Responsibilities include pre-award and post-award administration, financial reporting, and contract maintenance for various projects, including the Community Ophthalmology and Shiley Children's EyeMobile initiatives. The incumbent will develop and analyze budgets, assist faculty and staff with financial management, and ensure compliance with all relevant regulations and guidelines. This position also involves acting as an online reviewer for payment requisitions and travel reimbursements, as well as supporting the annual departmental budget process and year-end financial closing activities. The ideal candidate will possess strong analytical skills, the ability to manage a high volume of transactions, and a customer service focus. They will be expected to maintain independent judgment and demonstrate competence in using spreadsheet and database software for financial analysis and reporting. Knowledge of applicable regulations and compliance requirements in research administration is preferred, as is the ability to troubleshoot and resolve financial discrepancies effectively. Responsibilities

  • Provide fiscal management and financial analysis for extramural grants, contracts, and clinical trials totaling approximately $15 million annually.
  • Manage all aspects of federal grants/contracts and the administration of gifts, donations, and foundation accounts.
  • Independently identify problems, troubleshoot and resolve variances, and formulate solutions in accordance with departmental and university regulations.
  • Responsible for financial reporting and contract maintenance for various projects, including the Community Ophthalmology and Shiley Children's EyeMobile.
  • Develop and analyze budgets, providing guidance and assistance to faculty and staff in financial management and proposal submissions.
  • Serve as an online reviewer/approver of payment requisitions, purchase orders, and travel reimbursements.
  • Support the annual departmental budget process involving faculty compensation and expense projections.
  • Assist in the year-end departmental financial closing process, including journal preparation and entry.
  • Ensure compliance with contractual and billing requirements for clinical trials and service agreements, invoicing appropriate agencies in a timely manner.
  • Act as a liaison with various central academic personnel in the acquisition and administration of research funding.

Requirements

  • Four years of related experience, education/training, or a Bachelor's degree in a related area.
  • Ability to manage a high volume of transactions.
  • Ability to perform moderately complex financial analysis and customized reporting.
  • Demonstrated competence in the use of spreadsheet and database software in financial analysis and fiscal management.
  • Ability to maintain independent judgment and strong organizational skills.
  • Excellent communication skills and a customer service focus.
  • Demonstrated knowledge of generally accepted accounting, fiscal, and reporting principles.
