About the position

The Executive Assistant II to the CIO at the Texas Facilities Commission (TFC) is responsible for providing high-level administrative support to the Chief Information Officer (CIO) and managing the daily operations of the IT department. This role requires a proactive and organized individual who can handle complex scheduling, project coordination, and communication with various stakeholders to ensure the successful execution of strategic initiatives and goals.

Responsibilities

  • Maintain the CIO's calendar, including scheduling meetings, appointments, speaking engagements, and travel arrangements.
  • Provide coordination, monitoring, and communication of projects and programs managed by the IT Department and other TFC departments.
  • Serve as a primary point of contact between the Office of the CIO and IT governance groups.
  • Determine priority of matters of attention for the CIO; redirect matters to staff or handle personally as appropriate.
  • Gather and organize documents for preparation and timely distribution of agenda for meetings; review materials for accuracy and completeness.
  • Prepare minutes and distribute them in a timely manner.
  • Provide technical guidance and advice on administrative matters to IT management or other staff.
  • Develop, review, and communicate administrative policies, procedures, standards, and methods.
  • Establish goals and objectives; develop and approve schedules, priorities, and standards for achieving goals; manage evaluation activities for assigned business units.

Requirements

  • Graduation from an accredited four-year college or university with major coursework in business administration or a related field (preferred).
  • Five (5) years of administrative experience for a Director or CxO (preferred).
  • Skill in the use of personal computers and applicable programs, applications, and systems.
  • Proficiency in using productivity tools, such as Microsoft Office Suite, Enterprise Resource Planning, and other collaborating software.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Strong problem-solving and critical-thinking abilities.

Nice-to-haves

  • Master's degree in Business Administration or related field.
  • SHRM Certified Professional or Professional in Human Resources certification.
