About the position

The Dolby Chadwick Gallery in San Francisco is seeking a highly motivated Gallery and Personal Assistant to support gallery operations and assist the gallery owner with personal tasks. This role requires strong organizational skills, excellent communication abilities, and the capacity to manage multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Assist gallery team in all general activities of the gallery
  • Maintain accurate records through data entry and file management, ensuring all documents are organized and easily accessible
  • Handle incoming phone calls with professionalism, addressing inquiries and directing calls as necessary
  • Proofread documents and promotional materials to ensure clarity and accuracy before distribution
  • Support the gallery's daily operations by performing clerical tasks as needed, including managing office supplies and maintaining equipment
  • Organizing vendors for private events
  • Assist Gallery Principal with personal tasks
  • Making travel arrangements, hotel and restaurant bookings for Principal
  • Running errands for Principal (going to the car wash, dry cleaners, post office, etc.)

Requirements

  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Outstanding written and verbal communication skills
  • Thrives in a fast-paced environment and is a naturally efficient worker
  • Team player with an upbeat, can-do attitude
  • Extreme attention to detail with a passion for excellence
  • Oriented toward excellent customer service
  • Exceptional interpersonal skills
  • Knowledge of and passion for fine art
  • Self-starter with ability to work effectively with minimal supervision and meet deadlines
  • Valid driver's license and comfortable driving in San Francisco
  • Ability to work extended hours once per month during exhibition opening receptions

Nice-to-haves

  • Bachelor's Degree with high academic achievement
  • Ideally at least 1-2 years fine art gallery experience, but not required
  • Highly proficient in Adobe Suite
  • Extensive computer skills (familiarity with iOS systems, MailChimp, Lightroom, Artsy, ArtCloud or related inventory database a plus)
  • Excellent references
