The Neighborhood Services Department (NSD) mission is to preserve, enhance and engage Phoenix neighborhoods. Our investment in healthy neighborhoods is an investment in our residents, a sense of community and shared pride. Within NSD, the Neighborhood Engagement Division (NED) advances this mission by educating residents, providing quality customer service, and facilitating access to city services and programs. The Gated Alley Program (GAP) is a high-demand resource that addresses community needs by installing gates at alley entrances to improve community safety. This entails internal and external communication, review of requests, field visits, and addressing maintenance issues. NSD is currently recruiting for one vacant Administrative Aide position. The primary goal of the GAP Administrative Aide position is to process resident requests to gate alleys through the construction process. Key duties include effective internal and external communication, processing requests, tracking progress of projects, and making site visits as needed.

  • Respond to email and phone inquiries, providing technical assistance to residents to complete requests and petitions.
  • Screen requests for approval/denial to include public records research.
  • Coordinate review processes with numerous city departments, contractors, and residents.
  • Problem-solve eligibility issues with residents.
  • Conduct site assessments pre/post construction and maintenance/repair needs.
  • Data entry and records management, including weekly reports/updates.
  • Attend neighborhood meetings, events, and meetings with contractors.
  • Internal communication with partnering departments.
  • Neighborhood organizations/residents with requests, maintenance, and general information.
  • Day-to-day tracking and reporting of gate projects.
  • Maintenance issues of gates.
  • Four years of experience performing clerical duties.
  • OR Bachelor's degree in public or business administration or a related field.
  • Ability to research and assemble data from a variety of sources.
  • Proficient in Microsoft Excel, Outlook, Word.
  • Ability to utilize independent decision-making.
  • Familiarity with ArcGIS.
  • Ability to create and conduct presentations.
  • Proficiency speaking, reading, and writing Spanish.
  • Internal and external customer service experience, including providing technical assistance.
  • Detailed and accurate data entry experience.
  • Records management experience.
  • Experience compiling and reporting data.
