About the position

The position at Bank of America is responsible for providing diverse and confidential administrative support to senior management. This includes extensive calendar management, coordinating travel arrangements, processing expenses, and gathering relevant information for executives. The role requires effective communication and organizational skills to manage multiple tasks and conflicting priorities in a professional manner.

Responsibilities

  • Communicates with executives and line management to gather and convey relevant information.
  • Answers manager's phone line, documenting accurate messages and handling calls with appropriate judgment.
  • Proactively manages the calendar of multiple stakeholders, effectively resolving conflicts that arise.
  • Arranges and handles details related to travel arrangements, expense reports, meetings, and appointments.
  • Prepares meeting minutes and related documents, utilizing written and oral communication skills.
  • Prepares correspondence, reports, and forms for leaders, following interaction with internal and/or external customers.
  • Partners closely with the Business Support Manager (BSM) assisting with routine tasks aligned to meetings and planning events.
  • Maintains a repository of operational meetings and supports various meeting types.
  • Provides coverage for peers when they are out of the office.
  • Develops and maintains connections across the organization and acts as a liaison for various tasks.
  • Acts as the Plano site Global Operations contact for assistance with meetings and general operating requests.
  • Works closely with HR, Facilities, and Security executives with site requests.
  • Maintains the organizational Administrative Playbook and ensures process changes are accounted for.
  • Assists with ordering supplies and corporate cards, and acts as a proxy for employee recognition.

Requirements

  • 5+ years of experience providing administrative support at the senior management level.
  • Experience with Outlook and other MS Office programs (Excel, PowerPoint, Word, One Note, WebEx, SharePoint, and Skype).
  • Extensive experience coordinating meeting logistics across multiple time zones.
  • Proven ability to manage multiple, complex executive calendars while demonstrating agility and flexibility.
  • Experience with Concur or similar for scheduling travel and processing expenses.
  • Professional demeanor in-person, over the phone, and through email communications.
  • Proven relationship building skills and experience working well with different interpersonal styles.
  • Detail-oriented, highly organized, and strong time management skills.
  • Good judgment and strong critical thinking skills.
  • Ability to work independently with minimal direction and under pressure.

Nice-to-haves

  • Bachelor's degree or similar work experience.
  • System knowledge in Guardian, ARM, Workday, Concur, GEP Smart, Global Recognition Tool.
