About the position

CWD Group is looking for an experienced Facility Manager to oversee all aspects of our condominium community. The Facility Manager will manage the overall operation of the residential condominium community to ensure the highest level of owner and resident safety, security, and satisfaction. This role is responsible for managing the operation, maintenance, and life cycle of all common systems and equipment, ensuring compliance with all relevant City, County, and State regulations and building codes, as well as standards set by the Association. The Facility Manager will work closely with the Business Association Manager to ensure proper coverage for the onsite team and service levels to the membership. The Facility Manager will assume responsibility for maintaining the Common Elements of the property (not individual units) while simultaneously maintaining a direct partnership with the residents to ensure the enjoyment of their home today and maximize the value of their investment long term. This position requires a proactive approach to organization development, supervision, contract management, building maintenance, and communication with the Association Board and Committees. The Facility Manager will also develop and implement plans to respond to emergencies and ensure that these are clearly communicated to all onsite team members, residents, and owners. In addition to overseeing the day-to-day operations, the Facility Manager will maintain onsite records to ensure the effective administration of Association programs and policies, including maintaining the security computer system, owner and resident names and telephone numbers, and contact and emergency contact information. The role also involves ensuring that door staff understand and administer all Association rules and regulations to provide residents and guests with the highest level of courtesy and professionalism.

Responsibilities

  • Manage the overall operation of the residential condominium community.
  • Ensure the highest level of owner and resident safety, security, and satisfaction.
  • Maintain the Common Elements of the property while partnering with residents.
  • Develop and maintain an appropriate staff organization, job descriptions, and work procedures.
  • Interview, hire, train, and supervise the onsite team full and part-time staff members.
  • Collaborate with the Engineer to monitor vendor performance and ensure adherence to contract responsibilities.
  • Manage service contracts and all activities related to the maintenance and repair of building issues.
  • Ensure that door staff administer Association rules and regulations fairly.
  • Establish a program to maintain and service all Common Areas in a professional manner.
  • Maintain onsite records for effective administration of Association programs and policies.
  • Develop and implement emergency response plans and communicate them to all onsite team members and residents.
  • Collaborate with the Board and Committees for smooth administration of the building.
  • Prepare monthly reports of relevant activities, expenses, and staff schedules for the Board of Directors.

Requirements

  • Requires experience in property and/or staff management, experience with association management a plus.
  • A minimum of five years of residential, high-rise experience.
  • Must be a clear communicator; written, orally, and electronically.
  • Ability to work with a variety of people including owners, residents, and contractors in a professional manner.
  • Must have experience and the ability to train and supervise staff and outside contractors.
  • Must be computer literate including using word processing and spreadsheets.
