About the position

The Generalist, Human Resources and Faculty Affairs at Columbia University will play a crucial role in supporting the Human Resource and Faculty Affairs functions within the Specialty Pod. This position involves regular interaction with the Director to provide updates on various HR and Faculty Affairs initiatives. The Generalist will participate in meetings with the HR/FA team, department contacts, and Department Administrators to review the status of HR/FA transactions, ensuring that all processes are running smoothly and efficiently. Additionally, the Generalist will provide backup support to other HR personnel, including managers and directors, particularly during periods of vacation or time-off, which may involve short-term or extended coverage assignments. In terms of responsibilities, the Generalist will assist in the recruitment process by posting job positions on Columbia's job site and other advertising platforms, scheduling interviews, managing the I-9 process, and conducting pre-hire background checks. They will also be involved in the faculty appointment, reappointment, and promotion processes, working closely with the Medical Staff Office to ensure that new faculty and credentialed staff can onboard effectively. The onboarding process for staff, faculty, researchers, and students will also fall under their purview, which includes scheduling welcome programs and ensuring a smooth transition for new hires. The Generalist will oversee payroll preparation and processing, manage time-off tracking, and ensure compliance with various HR-related processes, including immigration needs for faculty and staff. They will be responsible for maintaining communication with internal and external stakeholders to resolve issues related to new hires, appointments, and terminations. Furthermore, the Generalist will utilize the ServiceNow HR Ticketing System to manage requests and maintain employee records, while also managing special projects as assigned by the Associate Vice Dean for Human Resources/CAO. This role requires a high degree of professionalism, organization, and the ability to work under pressure while maintaining a collaborative approach with individuals at all levels of the organization.

Responsibilities

  • Assist with the recruitment of staff by posting positions using Columbia's job site and outside advertising sources.
  • Schedule in-person meetings and manage the I-9 process; complete pre-hire background checks and process all new hires and employment-related changes.
  • Work with the Medical Staff Office to manage the credentialing process for new faculty and credentialed staff.
  • Manage the annual reappointment process, ensuring adherence to deadlines.
  • Responsible for onboarding staff, faculty, researchers, and students, including scheduling welcome programs and medical surveillance.
  • Initiate and process template-based hires in Peoplesoft and/or nominations, ensuring accurate information collection.
  • Oversee the department's preparation and processing of payroll and manage time-off tracking.
  • Collect and verify time-off trackers for all Academic Officers, ensuring submissions are up to date and approved.
  • Process employment-related changes in Talent Link and PeopleSoft updates.
  • Assist with immigration-related needs of faculty and staff, including visa sponsorship and documentation preparation.
  • Track compliance concerning I-9 processing, training programs, and visa status.
  • Use ServiceNow HR Ticketing System to manage requests and communicate with the HR/FA team.
  • Maintain and update employee records and manage special projects as designated.

Requirements

  • Bachelor's equivalent in education and experience and a minimum of 3 years of experience.
  • Resourceful, organized, and detail-oriented with the ability to establish priorities and follow up on multiple issues in a time-sensitive manner.
  • Skilled at working under pressure with minimal supervision and sound independent judgment.
  • Ability to exercise professionalism, diplomacy, discretion, and collaboration in dealing with individuals at all levels.
  • Strong analytical and problem-solving skills.
  • Excellent computer skills, including thorough knowledge of Microsoft Office and advanced spreadsheet skills.
  • Ability to quickly acquire knowledge of University policies, procedures, and systems.

Nice-to-haves

  • Certification (SHRM, Labor Relations, HR, etc).
  • Degree in Human Resources or related field.
  • Healthcare and/or Academic Medicine experience.
  • Human Resources experience preferred.
