About the position

The Gift and Information Data Records Specialist at Ithaca College is responsible for maintaining donor and constituent records in compliance with gift guidelines and Division of Advancement policies. This role involves accurate data entry, gift processing, and ensuring data integrity within the alumni and development system (Raiser's Edge NXT). The specialist supports critical business needs through automated tools and processes while maintaining confidentiality and compliance with institutional policies.

Responsibilities

  • Accurate gift and pledge entry of cash, checks, stock/securities, and gifts-in-kind in Raiser's Edge.
  • Track and confirm matching gift processes.
  • Support gift acknowledgment and tax receipt production processes.
  • Maintain files for gift source documentation as required by the IRS and audits.
  • Act as a resource for the Division of Advancement regarding payroll deduction processes.
  • Research, track, and maintain stock gift processes when applicable.
  • Maintain a secure environment for incoming gifts and practice proper cash handling procedures.
  • Accurate data entry of biographical information in Raiser's Edge, including obituary and employment information.
  • Collect, organize, and verify data for alumni, parent, foundation, and corporate records.
  • Work with the Advancement Services team on special data projects to ensure record accuracy.
  • Reconcile batches and correct data inconsistencies, generating clean-up lists as needed.
  • Respond positively and timely to incoming requests for information from donors and volunteers.
  • Demonstrate multicultural awareness and contribute to an inclusive College community.

Requirements

  • An Associate's Degree or equivalent combination of education and experience is required.
  • A minimum of 3 years of experience in data entry.
  • Knowledge of computer technology, including Microsoft Outlook, OneDrive, Word, Excel, and Internet browsers.
  • Previous experience with databases and Customer Relationship Management software preferred.
  • Strong attention to detail and demonstrated organizational skills.
  • Customer service orientation with the ability to prioritize and manage multiple tasks under deadlines.
  • Ability to handle confidential materials with sensitivity and discretion.
  • Ability to work independently and in a team environment.

Nice-to-haves

  • Experience with Raiser's Edge NXT or similar alumni and development systems.
  • Familiarity with IRS guidelines related to gift processing.
