About the position

The Gift Processing Assistant plays a crucial role in supporting the Association of Former Students of Texas A&M University by ensuring the accurate and efficient processing of gifts and related data. This position emphasizes attention to detail, exceptional customer service, and teamwork to uphold the organization's mission and values. The assistant will engage with various stakeholders, maintain donor files, and contribute to the overall success of fundraising efforts.

Responsibilities

  • Ensure accurate and efficient processing of gifts and related data.
  • Maintain the integrity of donor files and provide exceptional customer service.
  • Record charitable contributions and update demographic information in the donor database.
  • Perform basic clerical duties including answering phone calls, opening and organizing mail, and filing gift documentation.
  • Handle inbound and outbound correspondence related to gift processing, donations, and membership inquiries.
  • Research missing information to ensure accurate posting of charitable contributions.
  • Develop and implement quality control measures for accurate gift processing.
  • Balance and reconcile gift totals for daily postings of contributions.
  • Protect and enforce the privacy of donor records.
  • Assist in data cleaning efforts to improve the quality of donor data.
  • Ensure compliance with industry standards and best practices.
  • Create and maintain detailed documentation of gift processing procedures and workflows.
  • Assist with obtaining updated payment information from constituents with recurring gifts and pledges.
  • Participate in and provide input on various Association-wide activities.
  • Provide on-site event support for Board and Leadership Council meetings.
  • Participate in Association events and serve as an ambassador for The Association.

Requirements

  • High school diploma or equivalent.
  • 3 years of experience in varied clerical work or similar.
  • Strong written, oral, and interpersonal communication skills.
  • Strong attention to detail.
  • Ability to work effectively as part of a team with customer satisfaction as a priority.
  • Extensive working knowledge of standard office equipment and software, including Microsoft Excel, Word, and Outlook.

Nice-to-haves

  • Business courses at high school or college level.
  • One year in accounts receivable or cash receipts recognition.
