About the position

The Gift Processing Specialist is responsible for the timely and accurate processing of gifts to the University, including receiving, recording, receipting, and depositing donations. This role also involves maintaining accurate biographical information in the University Advancement database and managing the gift/pledge filing system. The specialist will reconcile gift reports, prepare matching gift forms, and respond to inquiries related to gifts in the database.

Responsibilities

  • Enter gift information into the University Advancement's database.
  • Balance gift entries and bank deposits.
  • Liaison with the payroll office to establish and maintain payroll deductions.
  • Complete daily batches within a specified time frame.
  • Set up new funds according to the General Ledger.
  • Enter biographical changes from gift/pledge information.
  • Research gift information for proper gift entry.
  • Work with development staff/auditors to provide necessary information.
  • Prepare standard monthly reports and special reports as needed.
  • Analyze and reconcile gift reports.
  • Create and maintain all gifts related forms and documentation.
  • Maintain all primary files for gifts/pledges and documentation.

Requirements

  • A two-year college degree or completion of a specialized course of study at a business or trade school, or 18 months to four years of work experience in a related field.
  • Two to five years of experience in a related field.

Nice-to-haves

  • Knowledge of Raiser's Edge/NXT software.
  • 1-2 years of database management experience in higher education.
