About the position

The Gift Processing Specialist at Habitat for Humanity Portland Region is responsible for the accurate and timely entry and management of all donations, acknowledgements, and constituent data in the Raiser's Edge database. This role is crucial for donor stewardship, ensuring that gifts are processed correctly and that constituent records are maintained with high attention to detail. The position supports the development team by managing donor correspondence and acknowledgements, contributing to the organization's mission of providing stable and affordable housing.

Responsibilities

  • Accurately process and enter all donations into the Raiser's Edge database each day.
  • Manage gifts received through online portals and local credit card donations, ensuring accurate, timely entries.
  • Process recurring monthly credit card gifts and collaborate with the Finance Team to identify and post ACH revenue.
  • Enter in-kind donations, ensuring appropriate coding for tracking and reporting.
  • Ensure tribute gifts are accurately processed, with notifications promptly sent to honorees or families of donations.
  • Create, maintain, and update constituent records with accurate contact information and updates.
  • Enter pledges, track fulfillment, and prepare pledge reminders and invoices for outstanding balances.
  • Reach out to donors or third-party vendors for clarification gifts, ensuring accuracy in data entry and stewardship.
  • Prepare and send thank-you letters for all received gifts, coordinating with the Development Team for custom letters as needed.
  • Prepare and distribute annual tax acknowledgement letters.
  • Assist with special projects and other duties as assigned to support the development and finance teams.

Requirements

  • Experience doing data entry in a general office or customer service-related position.
  • Attention to detail and demonstrated accuracy in data entry and a strong commitment to consistency.
  • Strong computer skills with demonstrated proficiency in Microsoft Office Suite products.
  • Strong analytical and problem-solving skills; ability to manage and prioritize multiple tasks/requests and meet deadlines.
  • Demonstrated strong verbal and written communication skills necessary to correspond with donors and constituents.
  • Ability to maintain confidentiality in all required situations.

Nice-to-haves

  • Previous experience handling checks and credit card transactions preferred.
  • Proficiency in using database systems; Raisers Edge preferred.
  • Nonprofit experience not required, but is a plus.
