About the position

As a Global Payroll Specialist, you will play a crucial role in managing payroll processes for international employees subject to US income tax. Your primary responsibilities will include ensuring accurate US federal and state wage reporting and tax withholding, preparing payroll calculations for tax protection payments, and maintaining compliance with internal policies and regulatory requirements. You will collaborate closely with foreign office payroll and finance staff to input payroll data into the in-house payroll system, ensuring that all necessary information is accurately recorded and reported. This position requires a strong understanding of US tax rules and regulations, as well as the ability to research and resolve complex pay issues. You will also be responsible for preparing and reconciling federal and state payroll tax deposits, quarterly and annual employer tax returns, and W-2 forms for international offices. Your expertise in payroll and tax compliance will be essential in responding to inquiries from the IRS and state taxing authorities, as well as in analyzing non-cash fringe benefits provided to international employees. Additionally, you will utilize Excel-based models to calculate estimated US tax rates for inbound and outbound employee transfers, ensuring that all calculations are communicated effectively to international offices. This role requires a high level of organizational skills, attention to detail, and the ability to handle confidential information professionally. You will also be expected to perform other duties and special projects as assigned, demonstrating your flexibility and commitment to the team's success.

Responsibilities

  • Input international employee payroll data into the in-house payroll system for W-2 reporting.
  • Prepare and reconcile federal and state payroll tax deposits, quarterly/annual employer tax returns, and W-2 forms for international offices.
  • Ensure compliance with federal and state income, social security, and unemployment tax requirements.
  • Research and prepare correspondence responding to inquiries and notices from the IRS and state taxing authorities.
  • Analyze and propose solutions to complex pay issues, including tax protection and gross to net calculations.
  • Utilize Excel-based models to calculate estimated US tax rates for inbound and outbound employee transfers.
  • Review non-cash fringe benefits provided to international employees and determine US tax treatment.
  • Prepare payroll journal entries related to tax deposits to ensure proper accounting of employee withholdings.
  • Respond to international office employee payroll inquiries regarding US payroll issues and W-2 reporting details.
  • Maintain proper documentation and records, ensuring compliance with internal policies and procedures.

Requirements

  • Bachelor's degree in a business-related field is required.
  • Relevant international payroll and/or tax experience is a plus.
  • Knowledge of US tax rules and regulations, including fringe benefit reporting and hypothetical tax calculations.
  • Knowledge of payroll rules/regulations in an automated processing environment involving multiple entities.
  • Proven ability to calculate payroll accurately and meet related deadlines.
  • Significant experience preparing payroll-related journal entries.
  • Strong organizational and interpersonal skills, with the ability to interact with all levels of management.
  • Knowledge of generally accepted accounting principles and accounting systems.
  • Ability to handle highly confidential information professionally.
  • Excellent system and Excel spreadsheet capabilities.
  • Workday and MasterTax (ADP) experience preferred.
