The Graduate Medical Education (GME) Program Coordinator at the University of Arkansas for Medical Sciences (UAMS) plays a crucial role in managing the day-to-day operations of the Department of Dermatology's residency program and medical student clerkships. This position is integral to the success of the program, providing essential support to the program director and clerkship director in various areas including accreditation efforts, educational programming, and the overall support of residents and medical students. As a member of the program's leadership team, the Program Coordinator possesses a unique understanding of the Accreditation Council for Graduate Medical Education (ACGME) requirements, policies, and procedures, which is vital for ensuring compliance and program excellence. The Program Coordinator serves as a liaison between the residency program and various stakeholders, including trainees, faculty, staff, and hospital administration. This role involves managing the ACGME Accreditation Data System (ADS), which includes maintaining the resident roster, conducting annual updates, and overseeing milestone evaluations and surveys. The coordinator is also responsible for developing and managing program improvement plans in response to ACGME notifications and citations, ensuring that the program continuously meets the highest standards of medical education. In addition to administrative duties, the Program Coordinator actively participates in the evaluation and analysis of the program, contributing to the UAMS GME Annual Program Evaluation process. This includes gathering and presenting data for the Program Evaluation Committee and Clinical Competency Committee, as well as preparing for ACGME self-study processes and site visits. The coordinator also plays a key role in the development and oversight of educational curricula and activities, ensuring that residents receive comprehensive training and support throughout their education. Overall, the GME Program Coordinator is essential for maintaining the integrity and effectiveness of the residency program, facilitating a positive learning environment for all trainees and contributing to the advancement of medical education at UAMS.

Responsibilities

  • Manage the ACGME Accreditation Data System (ADS), including Resident Roster, ADS Annual Update, Milestone Evaluations, Resident and Faculty Surveys, and Case Log Reporting.
  • Participate in the development and management of program improvement plans in response to ACGME Notification Letters/Citations/Areas for Improvement.
  • Contribute to the UAMS College of Medicine (COM) GME Annual Program Evaluation through data collection and analysis.
  • Develop, review, and update program-level policies to align with ACGME and GME requirements annually.
  • Prepare for ACGME Self-Study processes and subsequent Site Visits.
  • Gather and present data and documentation for the Program Evaluation Committee (PEC) and Clinical Competency Committee (CCC).
  • Assist in the creation and oversight of educational curriculum and activities such as Didactic Conferences, Journal Club, and Board Prep.
  • Track, report, and ensure compliance with policies and procedures.
  • Compile monthly billing reports for submission to the Housestaff Office.
  • Manage and implement processes for specialty-specific trainee exams.
  • Oversee the program's budget and purchasing processes.
  • Plan and implement annual events including graduation, retreats, and various meetings.
  • Staff and support didactics, lectures, and resident conferences.
  • Process resident travel and purchase textbooks and supplies for residents.
  • Manage processes for visa requests and develop recruitment and selection processes for resident candidates.
  • Manage online residency programs such as ERAS, NRMP, and AMA Residency and Fellowship Database.
  • Oversee the onboarding process for incoming residents and the advancement process for continuing residents.

Requirements

  • Bachelor's degree in business, education, general liberal arts, or related field plus three (3) years of project management or office coordination experience.
  • High School diploma/GED plus seven (7) years of project management or office coordination experience required.
  • Proficiency in Microsoft Access.
