About the position

This position, under the general direction of the Executive Assistant - Accounting, is responsible for performing a wide range of difficult to complex administrative functions related to grant funding including but not limited to pandemic grants and funds. This position is responsible for facilitating administrative projects and providing assistance to managers in order to effectively communicate, organize, implement, and finalize projects in accordance with grant requirements. The Accounting Project Specialist will be responsible for analyzing, computing, classifying and accurately recording data in order to ensure precise financial accounting records of grant funds. This position will continually monitor and evaluate the projects to ensure integrity within the fiscal projections and internal and external appropriation of the grant funds.

Responsibilities

  • Operate computers programmed with accounting software to record, store, and analyze information.
  • Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
  • Comply with federal, state, and company policies, procedures, and regulations.
  • Operate 10-key calculators and copy machines to perform calculations and produce documents.
  • Receive, record, and bank cash, checks, and vouchers.
  • Code documents according to company procedures.
  • Perform financial calculations, such as amounts due, interest charges, balances, discounts, equity, and principal.
  • Reconcile or note and report discrepancies found in records.
  • Perform general office duties, such as filing, answering telephones, and handling routine correspondence.
  • Access computerized financial information to answer general questions as well as those related to specific accounts.
  • Classify, record, and summarize numerical and financial data to compile and keep financial records, using journals and ledgers or computers.
  • Debit, credit, and total accounts on computer spreadsheets and databases, using specialized accounting software.
  • Match order forms with invoices, and record the necessary information.
  • Monitor status of accounts to ensure that payments are up to date.
  • Reconcile records of bank transactions.
  • Compile data and documents, based on estimated revenues and expenses and previous budgets.
  • Compare computer printouts to manually maintained journals to determine if they match.
  • Transfer details from separate journals to general ledgers or data processing sheets.
  • Calculate, prepare, and issue bills, invoices, account statements, and other financial statements according to established procedures.
  • Calculate costs of materials, overhead, and other expenses, based on estimates, quotations and price lists.
  • Prepare purchase orders and expense reports.
  • Prepare trial balances of books.
  • Compile statistical, financial, accounting, or auditing reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable, and profits and losses.
  • Maintain inventory records.

Requirements

  • Education: Associate's Degree in Accounting or Business Administration or three years demonstrated ability in relevant work experience.
  • Experience: One year of work experience in an accounting related field required.
  • Certification/License: Will be required to complete and pass pre-employment drug testing.
  • Knowledge of standard accounting practices, including applicable GAAP (General Accepted Accounting Principles), Federal, State and Tribal regulations, policies and procedures required.
  • Must have ability to use word processing, spreadsheet, database software and computer based accounting systems.
  • Knowledge of AS400, JD Edwards, Microsoft Office Suite, inventory, gas station, point-of-sale software preferred.
  • Working knowledge and ability to use office machines such as calculator, copier, fax, printer, scanner, and computer required.
  • Must have excellent communication and organizational skills.
  • Must maintain confidentiality.
  • Native American preferred.

Nice-to-haves

  • Knowledge of AS400, JD Edwards, Microsoft Office Suite, inventory, gas station, point-of-sale software preferred.
  • Native American preferred.
