About the position

The Graduate Program Administrator at Rice University provides essential administrative and operational support for the Smalley-Curl Institute and its various components, including the Applied Physics Graduate Program and the Rice Quantum Initiative. This role involves managing the NSF Research Traineeship program, which includes recruitment, course management, and event organization. The position requires strong communication and time management skills, as well as experience in media and website maintenance.

Responsibilities

  • Administers the daily operations of assigned program(s) with guidance from faculty or senior staff.
  • Provides support to faculty, staff, and students related to the program.
  • Assists with graduate student recruitment and admissions, student records, and curriculum support.
  • Coordinates the accreditation process and manages scholarships and fellowships.
  • Monitors student progress and maintains related records.
  • Edits and maintains websites for the academic program and the institute, creating and curating content for social media.
  • Conducts research, analyzes data, identifies trends, and develops reports.
  • Recommends and implements outreach plans, including communications, events, marketing, and conferences.

Requirements

  • Bachelor's degree
  • 1+ years in a similar administrative role
  • Ability to work well under pressure and manage projects simultaneously
  • Good organizational and time management skills
  • Advanced knowledge of Microsoft Office suite
  • Ability to work independently and as part of a team to meet deadlines
  • Strong client service orientation and attention to detail
  • Excellent written and verbal communication skills

Nice-to-haves

  • Related experience working at Rice University and/or in higher education
  • Two years or more of advanced administrative and/or program support experience
  • Experience managing graduate student enrollment and degree progress
  • Experience with Adobe Photoshop, InDesign, or other publishing software
  • Experience managing website and social media content
  • Familiarity with Asana, Drupal, and Oracle Cloud Fusion software
  • Aptitude for learning new systems and applications
  • Self-starter with a 'can do' attitude, resilient and adaptable to change
