About the position

The Graduate Services Coordinator for Kinesiology & Applied Physiology (KAAP) is responsible for managing the administration of undergraduate and graduate programs within the department. This role serves as a liaison between faculty, staff, students, and external organizations, ensuring compliance with university policies and facilitating the graduate admissions process. The coordinator supports various administrative activities, including recruitment, program administration, and student services, while maintaining accurate records and databases.

Responsibilities

  • Manage the graduate admissions process and support Graduate Committees.
  • Ensure compliance with federal and state regulations, university policies, and program accreditation standards.
  • Serve as the initial contact for prospective graduate students, providing accurate information and advising on acceptance standards.
  • Track information for newly admitted students, including offer letters and funding forms.
  • Represent the department at off-campus recruiting events and coordinate the design of recruiting publications.
  • Schedule open houses for prospective students, both virtual and onsite.
  • Liaise with the UD Graduate College to facilitate compliance with policies and procedures.
  • Manage graduate student funding and assist with teaching and research assistant assignments.
  • Respond to student inquiries and resolve problems, referring to appropriate faculty as needed.
  • Maintain student records and databases to track performance and graduation information.
  • Manage course scheduling and assist with graduate course enrollment.
  • Evaluate and document student requests for changes in major.
  • Promote and schedule thesis and dissertation defenses.
  • Organize summer orientation week for new and returning graduate students.
  • Prepare ad hoc reports and track data for national rankings.
  • Facilitate communication for updating department social media and web content.
  • Organize and maintain department files and mailing lists.
  • Compose complex correspondence and take meeting minutes as needed.

Requirements

  • Bachelor's degree and three years of experience in college admissions or equivalent education and experience.
  • Ability to independently manage an admissions program.
  • Effective organization, interpersonal, and communication skills.
  • Ability to prepare accurate and engaging correspondence.
  • Ability to make independent decisions and judgments.
  • Ability to plan, prioritize, and manage multiple projects simultaneously.
  • Ability to communicate effectively with diverse individuals and maintain a collaborative work environment.
  • Strong computing skills with advanced techniques in spreadsheet, database, and presentation software.
  • Knowledge of Word Press software and University UDSIS and SLATE systems preferred.
  • Knowledge of University of Delaware and KAAP graduate policies and procedures preferred.
