About the position

The Grants Accountant is responsible for federal, state and city financial contract/grant management including maintaining communications with funding sources. This administrator is tasked with ensuring the agency remains current on regulatory and legal issues relating to contracts/grants assigned and overall federal accounting regulations.

Responsibilities

  • Ensure adherence to compliance requirements/regulations for grants and contracts including federal, state and local laws; OMB Uniform Guidance for federal awards; procurement procedures; and any other pertinent rules and regulations.
  • Ensure those who are invoicing for cost reimbursement contracts are following an acceptable and consistent method for invoicing and allocations.
  • Ensure that Funding Sources are used consistently amongst the agency.
  • Provide analysis and support to funder as well as external financial and compliance auditors.
  • Aid program staff with technical assistance for the financial components of contracts/grants.
  • Forecast budget variances based on analysis of spending; Prepare routine budget/spending reports on a monthly basis.
  • Ensure contract tracking is updated on reported to management monthly.
  • Prepare budget modification and other required financial reports in a timely manner.
  • Review expenditures in general ledger and supporting documentation to identify unauthorized expenses or inaccurate classifications and remove questionable costs from general ledger via journal entry.
  • Ensure proper journal entries are done in a timely manner relating to the funding sources.
  • Ensure timely and accurate preparation and submission of monthly invoices and expenditure justification based on requirements of contract.
  • Review time and effort reporting to ensure that salary charges in projects are allowable and appropriate based on contract/grant agreements and is an after-the-fact representation; which reflects one or more pay periods; and is based on actual time spent.
  • Ensures that projects are closed out and reconciled in a timely manner.
  • Maintains regular and reliable attendance.
  • May be involved in the planning, organization, and implementation of special events or department specific projects or seasonal program changes.
  • In times of need, employee may be asked to complete related duties other than those indicated above as assigned by their supervisor.
  • Prepare for and review the preparation of the audit documents related to all federal, state and local grants and contracts.
  • Recommend trainings for staff to ensure growth in compliance.
  • Work with team to create continuous improvement opportunities surrounding our current processes.
  • Lead a weekly team meeting to discuss process improvements.
  • Exhibit positivity, flexibility and a willingness to take on new responsibilities as requested or required.
  • Demonstrate positive leadership, promote a team-based work environment and present the agency in the most positive light with all internal and external contacts.

Requirements

  • Ability to read, write, and speak English is required.
  • Experience working for a non-profit is required.
  • Knowledge of and experience with federal contacts is required.
  • Knowledge of and experience with NetSuite and Ultimate Software is preferred.
  • Knowledge with OMB Uniform Guidance and single audit, and federal fiscal contract monitoring.
  • Experience with general accounting, understand debits/credits and review of general ledger detail required.
  • Computer literacy, able to use Microsoft Office and preferably the software package currently being used in the department.
  • Good math aptitude.
  • Strong organizational skills with attention to detail.
  • Ability to maintain confidentiality.

Nice-to-haves

  • Bachelor's degree in Accounting is preferred.
