About the position

The Grant Program Assistant position at California State University, East Bay is a temporary, part-time role that is grant-funded and will last through June 30, 2025, with the possibility of reappointment. This position is designed to support the Supported Decision Making grant, which focuses on creating training modules for professionals and organizing a statewide conference on the topic. The Grant Program Assistant will work closely with the Project Lead Researcher/Co-Investigator and the project team, interfacing with university faculty, staff, funders, and students. Responsibilities include coordinating meetings, creating publicity materials, maintaining grant materials on online platforms such as Google and Canvas, and assisting in the development of online training modules. The role requires a commitment to ensuring compliance with university and funder grant requirements, managing project records, and responding to inquiries from various stakeholders. The assistant will also help in organizing project meetings and events, maintaining project timelines, and preparing reports for funders. This position is ideal for individuals with strong organizational skills, a background in administrative or project management work, and a passion for supporting individuals with disabilities.

Responsibilities

  • Assist in managing the budget and maintaining a Google Drive folder with budget summaries.
  • Work with the Office of Research and Sponsored Projects to ensure compliance with university and funder grant requirements.
  • Maintain the shared project calendar and task list/timeline.
  • Maintain project records in adherence to university standards for data security, confidentiality, and retention.
  • Assist in preparing reports for the funder.
  • Respond to project inquiries from students, faculty, staff, administrators, and the general public.
  • Contribute to the overall success of the project.
  • Assist with coordinating project meetings and events, including reserving rooms and ordering supplies.
  • Take minutes at project meetings and follow up with participants as needed.
  • Assist in the development and implementation of a statewide conference.
  • Create publicity materials, including flyers and website content.
  • Assist in the creation of professional learning modules.

Requirements

  • High school diploma or GED.
  • 1 year of office experience.
  • Background in administrative or project management work.
  • Strong organizational, oral and written communication skills.
  • Ability to work independently and flexibly.
  • Strong interpersonal skills and ability to make independent and collaborative decisions.
  • Experience coordinating events.
  • Excellent skills in Google Suite and MS Office.

Nice-to-haves

  • One year of full-time equivalent experience working on a time-limited, grant-funded project.
  • One year of full-time equivalent experience working in higher education.
  • Basic background in research, equivalent to one undergraduate research course.
  • A Bachelor's degree or a combination of education, training, and relevant experience.
  • Knowledge of Supported-Decision Making and Disability Justice.
