About the position

The Grants Analyst I plays a crucial role in managing the sponsored programs support for the College of Arts & Sciences (CAS) at the University of Delaware. Under the limited direction of the Director of College Sponsored Program Support, this position is responsible for overseeing all aspects of fiscal administration related to pre- and post-award activities for faculty members. The Grants Analyst I is expected to work independently, effectively solve problems, and make informed decisions while acting as a resource for academic units and principal investigators within the College. This role involves ensuring accurate and timely grant submissions, verifying budget accuracy, ensuring compliance with university policies, and facilitating timely closeouts to ensure full revenue recognition. The Grants Analyst I will also collaborate closely with the Director, the Senior Grants Analyst, and other team members to support the development of strategic initiatives related to sponsored programs, including generating reports using various data sources. In addition to managing the pre-award and post-award processes, the Grants Analyst I will provide financial oversight for large program projects, implement special projects as directed by the Director or Senior College Business Officer, and develop and maintain budget monitoring systems for sponsored project awards. This position requires a comprehensive review of grant and contract applications, ensuring compliance with university and agency regulations, and providing ongoing guidance to faculty in their sponsored programs efforts. The Grants Analyst I will also be responsible for providing monthly financial status reports to principal investigators, overseeing the timely closeout of grants and contracts, and identifying budget issues while proposing alternative solutions. Training new Grants Analysts and miscellaneous wage employees is also part of the role, along with performing other job-related duties as assigned.

Responsibilities

  • Manage the pre-award and post-award process, including planning and developing budgets for grant submissions.
  • Provide financial oversight for large program projects.
  • Implement special projects or tasks as developed by the Director or Senior College Business Officer.
  • Develop, implement, and oversee budget monitoring systems for sponsored project awards.
  • Review financial statements, analyze variances, and take appropriate actions.
  • Conduct complex financial reporting for forecasting, trending, and results analysis for CAS.
  • Provide guidance and expertise to faculty in their sponsored programs efforts, ensuring compliance with regulations.
  • Coordinate the transfer of incoming faculty members' grants/contracts from previous universities.
  • Provide monthly financial status reports to principal investigators on their grants and contracts.
  • Oversee the timely closeout of grants and contracts, reviewing and approving budget appropriation documents.
  • Identify budget issues and provide alternative solutions to resolve problems.
  • Communicate over-expenditure issues to faculty and administrative staff, resolving funding shortfalls.
  • Identify and implement new policies and procedures to improve the budget process.
  • Oversee grant submission and effort reporting.
  • Assist with training of new Grants Analysts and miscellaneous wage employees.
  • Perform other job-related duties as assigned.

Requirements

  • Bachelor's degree in business administration, Accounting, Finance, or a related field with two years of progressively responsible job-related experience, or equivalent combination of education and/or experience for Pay Grade 29E.
  • Bachelor's degree in business administration, Accounting, Finance, or a related field with three years of progressively responsible job-related experience, or equivalent combination of education and/or experience for Pay Grade 30E.
  • Skill in budget preparation and management of contracts and grants.
  • Ability to use advanced techniques in spreadsheet and database management (Excel/Access); knowledge of financial management systems and relational databases; familiarity with People Soft Grants processing systems preferred.
  • Ability to write queries and generate reports using various data sources.
  • Ability to analyze budgetary expenditures for compliance with approved policies and procedures.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks simultaneously and interact well with diverse individuals.
  • Experience in financial and budget planning.
  • Ability to interpret, adapt, and apply guidelines and procedures.
  • Ability to gather and analyze statistical data and generate meaningful ad-hoc reports.
  • Effective communication skills with a wide range of constituents on research management topics.
  • High level of independent judgment and service-oriented approach to sponsored projects management.
